How to dictate on a Mac: the built-in way, and what to do when it isn’t enough

Your Mac can type what you say, and it has been able to for years. Most people who tell you Mac dictation is bad turned it on once, spoke a paragraph, watched it stop halfway, and never went back. This guide covers the setup properly, the shortcut, the fixes for when it stops working — and the honest limits, so you know when a third-party tool is actually warranted and when it is not.

Turn on dictation (macOS Ventura and later)

1. Open System Settings.
2. Go to Keyboard, and find Dictation near the bottom of the panel.
3. Switch Dictation on. macOS will ask you to confirm and may download a language pack — that download is the on-device model, and it is why dictation works later with the Wi-Fi off.
4. Set Language. You can add several; the menu that appears while dictating lets you switch between them.
5. Set Shortcut. The default is a double-press of a modifier key — which one depends on your keyboard, and the menu here tells you. Pick something you will not hit by accident.
6. Choose the Microphone Source. If you use an external mic or a headset, set it explicitly rather than leaving it on Automatic.

On older systems the same controls live in System Preferences → Keyboard → Dictation. In any version, you can also start dictating from Edit → Start Dictation in the menu bar of most apps.

How to actually dictate

Put your cursor where the text should go, press the shortcut, and start talking. A small microphone indicator appears. Speak in normal sentences rather than word by word — the model uses the surrounding words to decide spelling, so “their” versus “there” is decided by context you are not giving it if you dictate one word at a time.

Punctuation is spoken:

• “comma”, “period” or “full stop”, “question mark”, “exclamation point”
• “new line” and “new paragraph”
• “open quote” / “close quote”, “open parenthesis” / “close parenthesis”
• “smiley face” and friends, if you must

Press the shortcut again, or click elsewhere, to stop. On Apple silicon, recent macOS keeps listening for a good while, but it is still designed around short bursts rather than a five-minute monologue.

Mac dictation not working? Work down this list

1. Check it is actually on. System Settings → Keyboard → Dictation. A macOS update can leave the toggle off.
2. Check the microphone permission.System Settings → Privacy & Security → Microphone. The app you are dictating into needs access, not just the system.
3. Check the input device. System Settings → Sound → Input. If the level meter does not move when you talk, dictation was never going to work — this is the single most common cause.
4. Check the language. A language you added but never downloaded will fail silently or fall back to a server. Remove it and add it again to force the download.
5. Check Screen Time.Content & Privacy restrictions can disable dictation for the whole account, which produces exactly the symptom of a shortcut that does nothing.
6. Restart the dictation service. Toggling Dictation off, waiting a few seconds, and switching it back on rebuilds the state that a bad update leaves behind.
7. Try another app.If dictation works in TextEdit but not in your editor, the problem is that app’s text field, not macOS.

Where built-in dictation runs out of road

Apple’s dictation is free, private and already installed — start there. But four limits show up quickly once you use it for real work:

• It does not learn your vocabulary. Product names, client names, medical or legal terms and anything in a second language come out wrong the same way every time, and there is no dictionary to correct it in.
• It is built for bursts. Long-form dictation — a paragraph of an email, a chunk of a document — regularly ends before you do.
• Punctuation is all-or-nothing.Either you say “comma” out loud everywhere, or you punctuate afterwards by hand.
• No clean-up.Your “um”s and false starts are typed faithfully.
